Privacy Policy
This Privacy Policy explains how Rova Labs LLC (“Rova Labs,” “we,” “us,” or “our”), a Prajapati Group company, collects, uses, discloses, and otherwise processes personal information in connection with our websites, products, and services (the “Services”). It applies to visitors to our sites, prospective customers, and the people who use the Services we build and operate for our clients.
Our role, and an important note on client data
Much of what we do is build and operate an AI operating layer inside our clients’ own systems. When a business engages us, that business generally decides what information flows through the Services and how it is used. In those cases we act as a service provider (or processor) and handle that information under our agreement with the client, not under this policy. This policy governs the information for which Rova Labs itself decides the purpose and means, such as information about our website visitors and the people we do business with.
Information we collect
- Contact and account information such as name, email, phone number, company, job title, and login credentials.
- Commercial and transaction information such as the services you are interested in or receive, billing details, and support history.
- Device and usage information such as IP address, browser and device type, pages viewed, and product and authentication logs.
- Communications such as the emails, messages, call notes, and meeting notes exchanged when you contact us or we work together.
- Information you provide through the Services such as files, prompts, settings, and content you or your team submit.
- Inferences drawn from the above to operate and improve our relationship with you, for legitimate business purposes.
How we collect it
We collect information directly from you, automatically through cookies and similar technologies when you use our sites, from the customers and colleagues you work with, from our integrations and payment processors, and from public and partner sources.
How we use information
We use personal information to provide, operate, and secure the Services; to manage accounts and process payments; to provide support and communicate with you; to improve our products and operations; to detect and prevent fraud and abuse; for sales and marketing; and to comply with our legal obligations.
How the layer handles your data
Your data stays yours. We do not use customer data to train, fine-tune, or improve any general AI model made available outside your own account. The systems we build connect on a least-privilege basis, touching only the data a given workflow needs, and a person stays in the loop on the steps that matter, including anything that moves money or leaves the building.
Cookies and similar technologies
We use cookies, pixels, local storage, and similar technologies for functionality, authentication, preferences, analytics, security, and marketing. You can control cookies through your browser settings, though some features may not work without them.
How we disclose information
- Service providers and subprocessors that host, store, process, or help us support and secure the Services, including cloud infrastructure and AI service providers, under contract.
- Parties you or our client authorize, and the integrations you choose to connect.
- Professional advisors and parties to a corporate transaction such as a financing or acquisition.
- Affiliates within the Prajapati Group where appropriate.
- Authorities when required by law or to protect rights, safety, and the integrity of the Services.
- Aggregated or de-identified information that cannot reasonably be used to identify you.
We do not sell your information
We do not sell personal information for money. Some privacy laws define “sale” or “sharing” broadly enough to include certain analytics or advertising technologies; where that is the case, we honor applicable opt-out rights.
Data retention
We retain personal information for as long as reasonably necessary to provide the Services, maintain our relationship, meet legal and tax obligations, resolve disputes, and enforce our agreements. Retention periods vary by the type of information and the purpose for which it is held.
Security
We maintain reasonable administrative, technical, and physical safeguards designed to protect personal information, including encryption in transit and at rest, access controls, and monitoring. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
International transfers
We may process and store information in the United States and other countries. Where required, we use appropriate safeguards, such as standard contractual clauses, for cross-border transfers.
Your privacy rights
Depending on where you live, you may have the right to access, correct, delete, or receive a portable copy of your personal information, to opt out of certain processing, and to withdraw consent. U.S. state privacy rights
Residents of California and other states with comprehensive privacy laws have specific rights regarding the categories of personal information we collect (described in Section 02), the purposes for which we use it (Section 04), and the recipients to whom we disclose it (Section 07). You may exercise these rights, including through an authorized agent, using the contact details below.
Children’s privacy
The Services are intended for businesses and are not directed to children. We do not knowingly collect personal information from anyone under 16.
Third-party sites
Our sites and Services may link to or connect with third-party services that we do not control. Their privacy practices are governed by their own policies.
Changes to this policy
We may update this policy from time to time. When we make material changes, we will update the effective date above and, where appropriate, provide additional notice.

Terms & Conditions
These Terms & Conditions (the “Terms”) govern access to and use of the websites, products, and services (the “Services”) provided by Rova Labs LLC (“Rova Labs,” “we,” “us,” or “our”). By using the Services, or by signing an order or statement of work that references these Terms, you agree to them. Engagements are typically scoped in a separate agreement or statement of work; where that agreement conflicts with these Terms, the signed agreement controls.
Definitions
“Customer” means the business that engages us. “Customer Data” means the data and content the Customer or its users provide to, or generate through, the Services. “Usage Data” means technical and operational data about how the Services are used. “Affiliate” means an entity that controls, is controlled by, or is under common control with a party.
The Services
Subject to these Terms and any applicable agreement, we grant the Customer a non-exclusive, non-transferable right to access and use the Services for its internal business purposes during the term. We may build, configure, and operate custom workflows and agents for the Customer as described in the applicable statement of work.
Acceptable use
You agree not to misuse the Services, including by attempting to reverse engineer or copy them, using them to build a competing product, interfering with their operation or security, or using them for any unlawful, infringing, or harmful purpose. You are responsible for your users’ compliance with these Terms.
Customer Data
You own your Customer Data. You grant us a limited license to process it solely to provide and support the Services. We do not use Customer Data to train, fine-tune, or improve any general AI model made available outside your account. A person stays in the loop on steps that move money or send communications on your behalf.
Fees and payment
Fees are set out in the applicable order or statement of work. Unless stated otherwise, fees are due as invoiced, are non-refundable except as expressly provided, and are exclusive of taxes. Late amounts may accrue interest at the lower of 1.5% per month or the maximum permitted by law.
Confidentiality
Each party may receive confidential information of the other. The receiving party will use it only to perform under these Terms and will protect it with reasonable care. This does not apply to information that is public through no fault of the receiving party, already known, independently developed, or required to be disclosed by law.
Security
We maintain reasonable administrative, technical, and physical safeguards designed to protect Customer Data, including encryption, access controls on a least-privilege basis, and monitoring. We will notify the Customer without undue delay after becoming aware of a confirmed breach of security affecting its Customer Data.
Data protection
Our handling of personal information is described in our Privacy Policy, which is incorporated into these Terms. Where we process personal information on the Customer’s behalf, we do so under the Customer’s instructions and any applicable data processing terms.
Third-party services and integrations
The Services connect to systems and tools you already use. Your use of those third-party services is governed by their own terms, and we are not responsible for their availability, security, or practices.
Term and termination
These Terms apply for as long as you use the Services or as stated in the applicable agreement. Either party may terminate for a material breach that remains uncured after a 30-day notice period. On termination, your right to use the Services ends, and we will make Customer Data available for export for a reasonable period before deletion in the ordinary course.
Intellectual property
We own the Services and all related software, models, and materials, excluding Customer Data. If you provide feedback, you grant us a perpetual, royalty-free license to use it to improve the Services. No rights are granted except as expressly stated.
Warranties and disclaimers
We will provide the Services in a professional and workmanlike manner. Except as expressly stated, the Services are provided “as is” without warranties of any kind, whether express, implied, or statutory, including implied warranties of merchantability, fitness for a particular purpose, and non-infringement.
Indemnification
Each party will defend and indemnify the other against third-party claims arising from its breach of these Terms, its infringement of a third party’s intellectual property, or its violation of law, subject to prompt notice and reasonable cooperation.
Limitation of liability
Neither party will be liable for indirect, incidental, special, consequential, or punitive damages. Except for a party’s indemnification obligations, breach of confidentiality, or a Customer’s payment obligations, each party’s total liability is limited to the fees paid or payable for the Services in the twelve months before the event giving rise to the claim.
Governing law
These Terms are governed by the laws of the State of New York, without regard to its conflict-of-laws rules. The parties submit to the exclusive jurisdiction of the state and federal courts located in New York, New York.
Changes to the Services or Terms
We may update the Services and these Terms from time to time. When we make material changes to these Terms, we will update the effective date above and, where appropriate, provide additional notice. Continued use of the Services after changes take effect constitutes acceptance.
General
These Terms, together with any applicable agreement, are the entire agreement between the parties on this subject. If any provision is unenforceable, the rest remains in effect. Neither party may assign these Terms without the other’s consent, except in connection with a merger or sale of substantially all assets. Neither party is liable for delays caused by events beyond its reasonable control. Notices should be sent to the contact below.
